Employment document systems
Employment paperwork drifts faster than any other document type, because it is issued by whoever happens to be hiring, from whatever file they used last time.
This engagement builds the structure that stops the drift: documents grouped by role, a single current set, and a record of exactly which version each person was issued and when.
What you get
- An audit of documents currently issued, by role and by date
- A structured document set organised by role rather than by person
- Version control with an issue log recording what each person holds
- An onboarding sequence defining what is issued, by whom, in what order
- A review trigger schedule tied to role changes and policy updates
SNJ Legal does not provide legal advice and does not prepare employment documents or assess whether any term complies with an award or the Fair Work Act. That is work for your own external adviser; this engagement makes sure they are looking at the version you are actually issuing.
Questions
Asked and answered
- Do you need access to personnel files?
- Only to the document set and the issue history, not to performance or pay records beyond what appears in the documents themselves. Scope the access you are comfortable with in the first conversation.
- How many role types will we end up with?
- Usually fewer than expected. Full-time salaried, part-time, casual and fixed-term covers most businesses; a couple more for genuinely different arrangements normally completes it. If the count climbs past eight, roles are being defined by seniority when they should be defined by engagement type.
- What about people already employed?
- They are captured in the audit that populates the issue log, for each person, what they hold and when they received it. That is a finite exercise, usually a few hours, and it is the part that becomes harder every year it is deferred.
