Terms and template libraries

The common failure is not that a company has no terms. It is that it has four sets, all descended from the same original, none of them marked as current, and a sales team that attaches whichever one they have locally.

This engagement collapses that into a single library with a controlled variation process, so departures from standard are visible, deliberate and recorded.

How do you find the sets of terms we are actually using?
By searching sent mail across everyone who has ever sent a quote, rather than by opening the folder where terms are kept. The shared drive holds what people saved; sent mail holds what people used, and those are different sets.
What happens to the old versions?
They are retained permanently in a location clearly marked as superseded, named by version identifier. Deleting them removes your ability to answer what a customer signed, which is the question the library exists to answer.
Does this stop our sales team negotiating?
No. It records what they agree. The variation register makes departures from standard visible and deliberate rather than invisible and accidental, and the approval matrix sets out which roles can agree which departures.
