Property document management
Leases are the document type where a missed date costs the most and gets noticed the latest. Option exercise windows, rent review dates, make-good obligations and bank guarantee expiries all sit inside documents nobody reopens between signing and dispute.
This engagement builds a register that surfaces those dates on a schedule, with the underlying documents filed where the person responsible can actually find them.
What you get
- A register of every premises with its documents, variations and side letters attached
- Critical dates extracted into a tracked schedule with lead times set per obligation
- Named role ownership for each date, so a reminder reaches a person
- A filing structure covering leases, variations, bank guarantees and correspondence
- Written instructions for adding a new premises to the register
SNJ Legal does not provide legal advice and does not interpret what an obligation requires or negotiate with a landlord. The register tells you a date is coming and which document it came from; what to do about it is a question for your own external adviser.
Questions
Asked and answered
- How far ahead do the reminders fire?
- It depends on the obligation, which is the point. A letter needs two weeks, a bank instrument needs four months, a make-good assessment and negotiation needs twelve. The register stores a lead time per obligation rather than one setting for everything.
- What if we have several premises?
- Each is a separate entry with its own documents, dates and owner, under one register. The written instructions cover adding a new premises, so the register does not expire the moment your portfolio changes.
- Do you contact the landlord?
- No. The register tells you a date is coming and which document it came from. What to do about it, and any dealings with the landlord, sit with you and your own external adviser.
