Document assessment

The free assessment on this site gives you a score in three minutes. This is the version that does the work: the actual inventory, searched out of sent mail rather than the shared drive, deduplicated by opening the files rather than by reading their names.

It is the engagement most businesses should start with, because every other piece of work here depends on knowing what you already have.

What you get

  • A collected inventory of every commercial document in circulation, by type
  • Deduplication by content, with the real count of distinct versions
  • A marked-up difference sheet showing where the versions diverge, clause by clause
  • An owner, a location and a status recorded against each document type
  • A prioritised list of what to fix first, and what can safely wait
1.2Out of scope

SNJ Legal does not provide legal advice and does not assess whether any version is better than another. The difference sheet states where documents diverge; what those differences do is a question for your own external adviser, and the sheet is designed to make that question cheap to ask.

Questions

Asked and answered

What do you need access to?
Sent mail for anyone who has ever issued a commercial document, and the drives where documents are kept. Read access is enough. The scope of access is agreed in the scoping call and recorded in writing.
How long does it take?
Three weeks for most businesses, of which the collection step is the longest and the least predictable. The timeframe is set out in the written scope before the work starts.
What if we already know what we have?
Then this engagement is not the right spend and you will be told that on the scoping call. Businesses that have done a deliberate inventory in the last two years should usually go straight to the engagement that fixes the specific problem.
